Guidance for website editors

Logging in to WordPress 

Visit www.edgehill.ac.uk/wp-admin and click the ‘Login using Edge Hill University SSO’ button to open the WordPress dashboard.

Once you are logged in, you can also edit directly from the page using the ‘edit page’ button in the black band at the top of the page.

Logging in to Blogs and Sites

Blogs and sites are separate to the website and we may need to request permission for you to access areas on these from Web Services.

Blogs and sites are edited in the same way as the website but are much more limited in their functionality.

Image Guidance

Most images on the website need to adhere to the following rulesets:

Landscape images

Headshots

Ratio1:1

File Type: .jpg

If a provided headshot is not good enough quality to display at 1000x1000px, then reduce the quality to a minimum of 500x500px. Ask staff to provide a higher quality image if available and check SmugMug for the original image. Always check to see if the photo or image has already been uploaded to avoid duplication.

Accessibility

Checking documents

Documents that are uploaded to the website are required to have an accessibility score of 90% or above in Blackboard Anthology Ally. We check every document that comes through to us, please read the full guidance in our accessibility guide before submitting a work request or uploading a document.  Breaching accessibility guidelines can have financial and reputational implications for the University. 

Heading structure 

Including appropriate headings enables those who rely on keyboards or assistive software to navigate webpages. If the correct heading rank is applied, screen readers will simulate a navigation menu similar to chapters, sections, and subsections in a book. This allows screen reader users to quickly tab through content to find what they need.

Headings should follow a logical hierarchy:

Heading 1 (H1): The title of your page. Think of this as a book title. Ideally, you should only use Heading 1 once.

Heading 2 (H2): For the main sections in your page, you would apply Heading 2. Think of this as chapters in a book.

Heading 3 (H3): For subsections within your page, you would apply Heading 3. Think of these as sections within individual book chapters.

You should avoid skip heading ranks. So, if you have added a H1, this must be followed by a H2. Do not skip to H3. It’s only ok to skip ranks when closing subsections. For example, if you have a H3 subsection and you’re moving on to another main section, you can follow the H3 subsection with a H2. You’ll notice that your H2s will also create a page menu using those headings too. 

Readability 

Keep your content clear and concise and write in plain English. 

  • Write in short, clear sentences and paragraphs.
  • Try to avoid jargon. If you must use technical terms, explain what they mean the first time you use them.
  • Avoid unnecessarily complex words and phrases. See if you can simplify the language using synonyms.
  • Write acronyms out in full the first time you use them; for example, ‘Edge Hill University (EHU)’.

Alt text 

Every image uploaded to the media library is required to have alt text, even if the image is purely decorative. Please be as descriptive as possible.

This document also includes useful information about choosing suitable images and requesting stock images or requesting new ones from the Brand and Campaigns Team.

Media Library – WordPress

The first place to look is the existing image library on the website. These images have already been checked by their submitter and picking images from here helps to reduce the duplication of common image (department buildings, staff images etc.)

SmugMug

Photos taken by the marketing team are stored in SmugMug. This is a great place to find images for the website but make sure to always check that they have not been uploaded already. Images taken from here will need to be resized, set to the correct ratio, and saved in the correct image format for the website. (See above).

UnsplashPixabayFlickr

These websites provide third-party images which may be suitable for use on the website. You must filter all images by “no known copyright restrictions” and be careful not to select premium/advertised images that may be included in search results but not be free of copyright.

Using these sites should be a last resort. Try not to use images that look like stock photos and make sure all images reflect Edge Hill University’s brand visual identity.
